Overview

Tasks help you delegate, track, and complete actions across your contract management process. Creating a task ensures that progress is tracked, reminders are automated, and everything stays visible in your dashboard - no need to chase manually.

While most tasks are created automatically by reminders or approval workflows, you can also create tasks manually at any time - either within a contract or independently. Manual tasks are perfect for simple requests, such as asking a colleague to upload a missing document or complete a follow-up action.

How to Create a Manual Task

You can create a manual task in three ways, depending on your workflow:

  1. During contract entry
    In some contract types, the Documents step of the Contract Wizard will invite you to create a File Request Task and assign it to another user. This is handy when you need someone else to upload a document or provide supporting files.

  2. From an existing contract
    Once a contract is saved, you can create tasks directly against it.

    • Open the contract and click Edit

    • Go to the Tasks tab

    • Click Add Contract Task
      This allows you to create tasks for any type of follow-up, not just file requests.

  3. Outside a contract
    You can also create a standalone task not linked to any specific contract:

    • Go to Add Contract or Form -> Tasks tab

    • Select the Task Type and complete the details.

Entering Task Details

When creating a new task, fill in the following details:

  1. Enter a task Title and Description. Due Date is optional, but useful for your Task Owner(s).

  2. The status will default to “Unclaimed”. This gives the Task visibility under the “Unclaimed Task” report on the Dashboard.

  3. Select one or more users under Task Owners. You may enter additional users in the CC field if required.

  4. Select the Task Type.

Note: For a Task Type defined as a File Request Task, there is an additional checkbox to Require Document. If this is ticked, the task cannot be completed unless a document is provided.

Additional details:

  1. You can attach supporting files to the task at any time:

  • Go to the Documents tab and upload your files.

2. To keep a transparent record of updates or communications:

  • Add notes in the Comments tab or use the Add Comment button.
    Comments are permanently recorded as part of the task’s audit history and cannot be edited or deleted.

Task Notifications and Tracking

When you save a task, Contract Eagle automatically sends an email notification to the Task Owner(s), including a direct link to view or claim the task.

Tasks remain visible on the user’s Dashboard, grouped under:

  • Unclaimed Tasks – waiting to be accepted

  • Active Tasks – currently in progress

If a task reaches its due date without being closed, it will be flagged as Overdue and highlighted in the Dashboard and daily summary emails.
