Create and edit Role Types

Your job titles, your role names, your terminology.

Overview

Role Types define the job titles and role names that can be linked to a contract, such as Contract Owner, Reviewer, or Counterparty Billing Contact.

Use this feature to use role names that make sense to your business.

Roles can be internal (users) or external (counterparty contacts).

Create a New Role Type

  1. Go to Configuration → Role Types.

  2. Click Add New Role Type button on the right-hand side.

  3. Complete the fields as described below, then click Save.

Role Type Fields

  • Title
    The name of the role as it appears on any screens showing the contract details, for example, Contract Owner or Legal Reviewer.

  • Description
    A short explanation is shown in the Contract Entry Wizard and Contract Edit/View screen when users assign this role.

  • Source
    Defines whether this role applies to an Internal User (within your organisation) or a Counterparty Contact (external party).

    • Internal User – select users from within your Contract Eagle organisation.

    • Counterparty Contact – select contacts linked to counterparties.

  • Business Unit
    Specifies which business unit can edit or include this role type in their contract types.

  • Default Notification Order for Reminders
    This value specifies the default order in which reminder emails are sent to different roles. This default order is overridden once the contract type is updated.

Setting the Default Escalation Order

After adding new roles, you can configure the default escalation order for reminders:

  1. On the Role Types list screen, click Set Default Escalation Order.

  2. Use the arrows to reorder roles or the drop-down lists to assign positions.

  3. The order you define here becomes the default sequence for reminder notifications.

Tip: This is the default order only and will be overridden for each contract type once that contract type is updated. You only need to use this screen if you are setting up several contract types and want to make that process easier.
