Multiple Contract Business Units

Assign more than one Business Unit to a contract for improved flexibility in how contracts are secured across your organisation

Overview

Every contract belongs to at least one business unit, and the selection of this business unit determines who can see or update the contract.

The Multiple Contract Business Units feature, introduced in version 12.03, allows you to associate a single contract with more than one Business Unit.

This means additional flexibility in controlling the visibility of each contract. A single contract can now be shared across teams without having to edit user profiles.

How It Works

When creating or editing a contract, you can select multiple Business Units instead of being limited to just one.

If additional business units have been specified then users with access to those additional business units are therefore granted access to the contract.

If you prefer that these additional business units do not edit the contract then it is possible to specify those as view-only business units. This will disregard any "Edit" privileges that the user has for that business unit.

Note:

Business Unit filters in the Contract Search screen apply across all associated business units (Primary, Additional, and View-Only).

Contract Edit Screen

On the Contract Edit Screen - Details tab, you can control how other Business Units access the contract:

  • Additional Business Unit Access – assign one or more Business Units with access (based on the user's privileges), allowing the contract to be shared across multiple units.

  • View Only Business Unit Access – assign one or more Business Units with read-only access.

Contract Details - Search Screen & Dashboard

You can improve visibility of Business Unit assignments without opening each contract:

  • Contract Search Screen
    Use Options - Contract Search Settings in the Contract Search screen to show the Primary Business Unit and Business Units columns in the search results:

  • My/Team Dashboard
    Use Options - Dashboard Settings in the Dashboard to add Business Unit information on screen:

Note:

  • Access to Business Units is still controlled by user roles and permissions

  • Existing contracts can be updated to include multiple Business Units

  • The Business Units includes the primary business unit, so you do not need to display both columns.
