Understanding how they work together

Overview

Dates in Contract Eagle are more than simple calendar fields. They can be used to drive automated reminders, recurring notifications, and workflow tasks that help teams manage key contract obligations and deadlines.

Understanding the relationship between Dates, Reminders, and Tasks is important when configuring milestone tracking and automation within the system.

Dates

A date can represent an important contract milestone, such as:

  • Contract Start Date

  • Expiry Date

  • Review Date

  • Notice Period Date

  • Insurance Renewal Date

Dates can either be:

  • Simple - used when you want to record the date but do not need reminders.

  • Advanced - used when you want to schedule reminders or tasks, such as for renewal tracking, review cycles, compliance obligations, and escalation processes. Advanced dates can also be set to recur, meaning that you can supporting any regular recurring obligations required by your contract.

Reminders

Email reminders are sent automatically by Contract Eagle according to the date you specified and the number of days in advance you wanted to be notified.

They help ensure that users are informed before or after an important milestone occurs. Reminders can be configured to:

  • Send emails to selected contract role holders

  • Escalate notifications if no action is taken

  • Repeat on a recurring schedule

Examples:

  • Notify the Contract Owner 30 days before expiry

  • Send a recurring annual compliance reminder

  • Escalate to the Business Manager if the Contract Owner hasn't taken action within the defined period of time.

Tasks

A task is created automatically by Contract Eagle when an email reminder is sent out.

The job of the task is to allow the recipient to confirm that they have completed the required action. The task management capabilities within Contract Eagle allow for incomplete tasks or overdue tasks to be tracked.

Tasks are optional

It is possible to receive email reminders without a task attached. This can be achieved by disabling tasks within the Date Type configuration.

Task types may include:

  • Standard Tasks

  • File Request Tasks

  • Custom Tasks

Examples:

  • Request updated insurance certificates

  • Complete annual contract review

  • Upload signed renewal documentation

How they work together

An advanced date configuration can:

  • Store a milestone date

  • Trigger reminders

  • Create tasks

This allows organizations to coordinate contract management activity around contract milestones rather than simply recording dates.

For example:

  • A contract expiry date may send a reminder 90 days prior

  • The same date may also create a renewal review task for the Contract Owner
