If you want Contract Eagle to notify you about upcoming contract dates, it's important to set them up correctly with reminders

  • ability to renew for further 4-year period, provided notice to renew is given 6 months before the end of the contract period.

Tips for Entering Dates

Entering the Date

  • You can specify how far in advance you want to be reminded of a date (see below). But when you enter a date into Contract Eagle, make sure you enter the deadline date; the last possible day on which you have to give notice, file a report, whatever it might be. That's the date you'll want to check if you are looking up your contract details. 

  • You can enter a specific date (eg, 11 November 2022) or a relative date based on other dates in your contract, eg "Start Date PLUS 6 months". 

Recurring Dates

  • You can set your recurring dates to "Stop Recurring", but you don't have to. If you change a contract's status to "Closed", that will disable any email reminders about contract dates. 

  • You can only set PLUS or MINUS dates to be relative to the Final instance of a contract date:
    Let's say you have a contract where you can give notice to terminate 6 months before the end date. If your Contract End Date is not recurring, you can enter the Notice To Terminate Date as The final Contract End Date MINUS 6 months (and set an appropriate number of days in advance to receive the reminder).
    If your Contract End Date is recurring, then The final Contract End Date only falls on the last time this date recurs. If there is no "Stop Recurring" date set, then there will never be a final Contract End Date and, as a result, there will never be an email that goes out 6 months before.
    If these dates are recurring without end, it's easier to enter a specific date, eg "5 Nov 2020" rather than "Six months before the last instance of a date that never stops recurring". 

Setting the Reminder

  • Out of the box, there are two Reminder Types: Email Selected Recipients and Escalate through Contract Roles.

  • Email Selected Recipients allows you to select a role or roles on the contract to be emailed, eg "Contract Owner" and "Manager". Everyone gets emailed at the same time. 

  • Escalate through Contract Roles follows Contract Eagle's own built-in escalation: email a task to the Contract Owner; if the task is not claimed within 7 days, send an escalation email to the Manager. 

  • You can create your own custom Reminder Types to specify particular roles to be emailed, a particular escalation, etc. 

  • Specify the days in advance for you to receive the first and subsequent reminder about a contract date. Set a period that gives you enough time to prepare. For example, before your contract terminates, you might need to find a new supplier. That process could take up to 3 months. So, for the Contract End Date, start your days in advance with 90. To receive further reminders, add further days (comma separated), eg 90,60,30,7,1

  • When you or a colleague receive a reminder email from Contract Eagle, it will already have the contract title, description, counterparty, date type (eg End Date, Reminder Date), and due date, together with a link to the contract. So when you enter your Message text, there's no real need to repeat any of that information. Instead, enter more specific instructions, eg "If we decide to renew this contract, notice needs to be given in writing and emailed to ..." etc. 

Editing Dates

  • When you're in a contract in Edit mode, just click anywhere on the blue field containing the current date/reminder details to edit them.

  • If you need to change the date of the reminder, but it's displaying "Multiple dates have passed" and no way to edit them, you will need to Clear the date completely, using the Clear button below BUT FIRST! You should copy or take a screenshot of the existing settings (text of message, days in advance, reminder type, CC message) because everything will be deleted when you click Clear. 💣
    Once you've saved everything you need, click the Clear button. Then go back in and set up the date settings again.
