Bulk Reassignment of a user's Tasks and Contracts

If a user leaves or will be away from the office for long time, a System Admin can do a bulk reassignment of their Tasks and/or Contracts.

Overview

When a team member leaves or changes roles, their assigned tasks and contracts may need to be reassigned promptly to avoid workflow disruption. Contract Eagle's bulk reassignment feature makes it easy for administrators to transfer responsibilities from one user to another in just a few clicks - ensuring continuity and reducing administrative overhead.

If a user cannot complete a Contract Eagle Task, it can be reassigned by them or someone else in the team. Where a user has several Tasks, or will be away for an extended period of time, it is possible to do a bulk reassignment of their Contract Eagle Tasks and/or Contracts. 

Note: this needs to be carried out by a System Administrator, as it is done through the Users menu option.

Bulk Reassign Tasks

  1. Go to the Security menu and select Users

  2. Find the user who currently has the Tasks you wish to reassign and click the Actions > Reassign Roles option next to their name.

  3. The screen will list all their contract roles, followed by their Tasks.

  4. From the drop-down list Reassign To, select the Contract Eagle user or users to whom the current user’s contract roles, approval rules and tasks will be reassigned.

  5. Scroll down to the Task Reassignment list and either:
    (a) click the radio buttons beside each to allocate to different users, or;
    (b) click Select All underneath one user's name to reassign all Tasks to them.

  6. Scroll down and click Save.

Reassign Contract Roles

When we're looking at reassigning tasks, we're talking about assigning tasks that have already been generated in the database.

However, if this team member is going to be away for an extended period of time, the contracts on which they have a role — for example, if they are the contract owner — may generate tasks as those contracts approach their milestone dates.

In order to be proactive and address this before the tasks are even created, you can assign that contract role to others.

To reassign Contracts, use the steps above, but instead of scrolling down to Tasks at step 5, review the list of contract roles and either reassign one by one or use the Select All button.

When your team member comes back from extended leave, you can reassign the contracts back to them simply by doing the same thing through the Reassign Roles button under Users screen.
