Overview
The Basic Contract Search provides a fast and simple way to find contracts using keywords. Designed for everyday use, this search method allows you to quickly narrow down results by key details such as contract title, summary, attached documents (if text-searchable), user-defined fields and dates (next date or previous date only). It’s ideal for users who need to locate contracts without using advanced or specific criteria.
How to use it
To use Basic Search, enter your search term in the search field on the right-hand side of the navigation bar, then click the search button:
Alternatively, click the Contracts menu > Basic tab > enter your search term and click Search.
For either search method you can enter a search term, or leave the search field blank to return a list of all contracts in the database which you have access to, subject to any status filters set in the Contract Search Settings.
Note that the default status filter is set to return only Active Contracts. If you wish to search across all contracts by default - including Closed and Cancelled ones - you can change this and other Search Settings.
Working with Search Results
On clicking search, the search results will be displayed in the lower part of the search screen.
Click on any individual contract to open the contract in Summary mode or access additional options from the Actions menu.
Actions menu
The Actions menu is represented by the three vertical dots shown to the left of every row in the search results. It provides the actions which can be taken for each contract. This menu is available only after a successful search has been performed.
View Summary displays a read-only summary of key contract information in a simplified format.
Search for Related Contracts performs a search for all contracts related to the indicated contract. This would include any master or child contracts.
Edit Contract opens the contract edit screen.
ViewContract opens the contract in view mode.
The Create a Report button displays a list of reports which will be produced for the contracts listed in the search results. Each report is available in PDF, HTML, Excel and RTF format.
The Clear button removes your existing search criteria so you can perform a fresh search in the same screen.
