Task Search

Find any Task that you have permissions to view, regardless of who it has been assigned to or its status

In other resources we've looked at how to view Tasks using the My Dashboard or Team Dashboard. However the Dashboard will only show you Tasks that are yours or belong to someone in your team. It will also only show you Tasks that haven't been completed or closed.

This article will take you through Task Search, so you can find any Task that you have permissions to view, regardless of who it has been assigned to, and regardless of its status.

Task Search screen

To get started, click the Contracts menu and go down to Tasks. This automatically takes you into a Task Search screen. There are two tabs:

  • Basic Task Search; and

  • Advanced Task Search.

The tab you see will depend on which one you were viewing the last time you were in Contract Eagle.

Basic search allows you to enter any word or phrase from:

  • Task Title, eg "performance"

  • Task Description

  • Due Date, eg "10/4/2017"

  • Task ID

  • Contract ID

Enter your text in the search field and click Search.

Search Results

In the lower part of the screen you'll see a list of Tasks that meet your search criteria. The search results will display columns for Task Owner and the Task Status.

Manage Individual Tasks

You can click on any Task to view it and manage it:

  • Incomplete Tasks - when you click the Task, you will see the standard action buttons allowing you to Claim, Reassign or Close the Task.

  • Closed Tasks - you can reopen a Task if you click the Actions menu in the top-right, or scroll down to the buttons below, and then select the Reassign/Claim/Complete button. This will take you into the screen with the action buttons for that Task.

Create Reports of Tasks

Rather than working with individual Tasks, you can create reports from the list of Tasks in your search results.

  1. Click either of the two Reports buttons on-screen

  2. Click the Task Data Export report. This will generate a spreadsheet of the Tasks from your search results, saved in your default Downloads folder.

The Basic Task Search can also be used from the search box in the top right-hand corner.

  1. Enter a word or phrase from the Task Title, Description, due date, or an ID number, into the search box in the top-right of the screen

  2. Change the search scope to tasks as shown below

  3. Click the search button on the right

The Advanced Task Search allows you to enter more specific criteria. In addition to Basic Search criteria, you can search for Tasks based on:

  • one of the Task Owners or CC names; or

  • Task Status

Once you've got your search results you can open individual Tasks and manage them, or you can click the Reports button to generate a report of the Tasks in your search results.

View All Tasks

If you ever want to view a list or report of all Tasks ever, leave the search criteria field completely  blank and just click Search.

The search will return all the Tasks that you have permissions to see. Bear in mind your database may have Tasks in other Business Units that you don't have access to. If you're not sure, check with your Power User or System Administrator.
