Task Search

Find any Task that you have permissions to view, regardless of who it has been assigned to or its status

Overview

In other resources we've looked at how to view Tasks using the My Dashboard or Team Dashboard. However, the Dashboard will only show you Tasks that are yours or belong to someone in your team. It will also only show you Tasks that haven't been completed or closed.

This article will take you through Task Search, so you can find any Task that you have permissions to view, regardless of who it has been assigned to, and regardless of its status.

Task Search screen

To get started, click the Tasks menu. This takes you into a Task Search screen. There are three tabs:

  • Basic,

  • Advanced, and

  • Task ID search

The tab you see will depend on which one you were viewing the last time you were in Contract Eagle.

Basic search

Basic search allows you to enter any word or phrase from:

  • Task Title, e.g. "performance"

  • Task Description

  • Due Date, e.g. "10/4/2026"

  • Task ID

  • Contract ID

Enter your text in the search field and click Search.

Search Results

In the lower part of the screen you'll see a list of Tasks that meet your search criteria. The search results will display columns for Task Owner and Task Status.

Manage Individual Tasks

You can click on any Task to view it and manage it:

  • Incomplete Tasks - when you click the Task, you will see the standard action buttons allowing you to Claim, Reassign or Close the Task.

  • Closed Tasks - you can reopen a Task by clicking on it and updating the task status.

Create Reports of Tasks

Rather than working with individual Tasks, you can create reports from the list of Tasks in your search results.

  1. Click the Export to Excel button.

  2. This will generate a spreadsheet of the Tasks from your search results, saved in your default Downloads folder.

Advanced Search

The advanced task search allows multiple search filters to be combined to return a more refined result set. In addition to Basic Search criteria, you can search for Tasks based on:

  • one of the Task Owners or CC names; or

  • Task Status/Type

  • Business Unit/Contract Type/Contract ID

If you prefer to use the Advanced search mode over the Basic search mode then Contract Eagle will remember the mode you used previously and display it automatically the next time you use the search screen.

Task ID/Contract ID/Keyword/Due Date

A keyword search will look within the title and summary of the task. If the keyword is a valid date, then it will also search within the due date of the task.

Due for completion

The search results show tasks due within the timeframe indicated. E.g. “Due in 30 days” shows all tasks due in the period starting today and ending in 30 days’ time.

Task Status

There are four task statuses: “Unclaimed”, “Claimed”, “Reassigned”, and “Closed”. You may change the default selection for this field within the Options > Task Search Settings > Search Filtering option.

Contract ID

Use this option to search for all tasks belonging to a single contract. The alternative way of doing this is to open the contract via the contract search screen and clicking the Tasks tab.

Business Unit

The search results will be restricted to the selection the user makes from the Business Unit list.

Only tasks belonging to your accessible business units will be displayed. Your accessible business units are determined by the Security Administrator, via the User Maintenance Screen.
It is allowable for tasks to have no business units. In order to search for these tasks you will need to leave the Business unit field blank.

Task Owner and CC

To find tasks belonging to a specific user, or multiple users, or yourself, select a username or “ASSIGNED TO ME” in the Task Owner or CC search field. Note: The Task Owner is responsible for the task whereas the CC simply receives a copy of any notification emails sent relating to the task and sees the task on their dashboard.

Task Types

Use this option to filter your search by one or more task types.

Contract Types

Use this option to filter your search by tasks attached to one or more contract types.

Once you've got your search results you can open individual Tasks and manage them, or you can click the Export to Excel button to generate a report of the Tasks in your search results.

Task ID search

A task ID entered into this field will restrict the results to that task only.

View All Tasks

If you ever want to view a list or report of all Tasks ever, leave the search criteria field completely blank and just click Search.

The search will return all the Tasks that you have permissions to see. Bear in mind your database may have Tasks in other Business Units that you don't have access to. If you're not sure, check with your Power User or System Administrator.
